General Terms & Conditions for Participation in an Organized Trip

The information, details and recommendations contained in these General Terms & Conditions of Participation have been reviewed by our office to ensure their validity and accuracy. They are of a general nature and shall apply as stated herein, unless specific or different provisions are expressly indicated in the programme of each individual trip.

The programmes, including the applicable price list, are valid for the period specified therein. The information and details provided in the travel programmes may be subject to change due to unforeseen changes in circumstances. In such cases, you will be notified promptly by the most appropriate means. You are therefore required to provide us with accurate and up-to-date contact details, for which you bear sole responsibility.

Seat changes on the coach are not permitted during the journey, except in the case of international trips.

The scheduled stops of the trip may be modified following consultation and agreement between the Tour Leader, Tour Escort and our office.

Our office reserves the right to change the size of the coach depending on the number of participants.

1. General

Pursuant to Presidential Decree 7/2018, implementing EU Directive 2015/2302

2.  Registration

The Package Travel Agreement is entered into with LP Travel & Premium Services, based in Chalkida, at Mitropoleos Street, P.C. 34100, M.H.T.E. No. 1351E60000040401, Tel. +30 22210 39929, email: info@lptravel-services.com.

Registrations may be made in person at our offices, by email or telephone, provided that the following requirements are met in order to secure a place on the selected trip:

  1. Payment of the applicable deposit (50%) or the full amount, in cash, by credit, debit or prepaid card, or by bank transfer to our Travel Agency.

  2. Unconditional acceptance of and compliance with these General Terms & Conditions.

For a registration to be considered valid, the payment receipt for the deposit or full payment must clearly indicate the selected trip, including the departure and return dates and any other relevant identifying details.

Participation in the trip is secured upon full payment of the total trip price and any applicable charges, at least seven (7) full days prior to departure.

Failure to settle the full amount within the specified time limit entitles our Travel Agency to cancel the reservation and, where applicable, charge cancellation fees in accordance with the cancellation terms set out herein.

The contracting party who represents a family or group is responsible for informing all travelers represented by them of the details and terms of the trip. Travelers registered through a third party are subject to the same obligations as the person who registered them for the trip. Our Travel Agency will provide them with any relevant information upon request.

The travel services to be provided, together with the applicable costs, are detailed in the Package Travel Agreement.

Where personal attendance is not possible, such as in the case of reservations made by telephone or email, the Package Travel Agreement will be sent to you by email. In such cases, you have the right to withdraw from the agreement within fourteen (14) days from the date on which it was sent to your email address, subject to the applicable cancellation fees referred to in Article 11 below.

Our Travel Agency bears no responsibility for the opening days or operating hours of shops, museums or archaeological sites.

3. Travel Prices, Surcharges & Other Charges

The price of each trip is stated in our applicable price list. Travel prices are calculated as of the date on which the relevant price list is issued, based on the cost of the services included in each trip, the cost of fuel or other energy sources, applicable fares and surcharges, taxes and fees of any kind, foreign exchange rates against the euro (€), as well as any other relevant cost factors (e.g. minimum number of participants, etc.). Having exhausted all reasonable means of anticipating changes in costs, our Travel Agency reserves the right to adjust the prices if any of the above cost factors change.

In particular, the price of the trip may be adjusted up to twenty (20) days prior to the commencement of the travel services. Any such price increase will be communicated to the traveler in a clear, understandable and prominent manner, with a detailed calculation of the adjustment.

In the event of a significant increase in the price, namely an increase exceeding 8% of the total value of the trip, for any of the above reasons, the traveler may terminate the Package Travel Agreement without paying any cancellation fee and receive a refund of the exact amount already paid. Alternatively, the traveler may accept another package of equivalent or higher quality.

The traveler is required to notify our Travel Agency in writing of their decision within a reasonable period, which in no event may exceed three (3) days from the date on which the price increase is communicated.

If the traveler fails to respond in writing within the above-mentioned period, our Travel Agency shall cancel the traveler’s participation and refund all amounts paid, without any further obligation, taking into account any applicable cancellation fees referred to in Article 11 below.

Our Travel Agency also reserves the right, for a specified period or for a limited number of places, to offer bookings at preferential prices, subject to special cancellation terms and conditions.

Children’s rates vary depending on the specific offer and may range from complimentary accommodation without meals at hotels and on board ships to a modest discount. Such rates generally apply to children aged 2–11 years and only when two adults are paying for the same room or cabin.

The published prices do not include accommodation taxes or municipal taxes. In Greece, the applicable accommodation tax per room/suite and per night is as follows: 3-star hotel: €1.50; 4-star hotel: €7.00; 5-star hotel: €10.00.

The accommodation tax introduced under Law 4389/2016, which as of 1 January 2024 is referred to as the Climate Resilience Fee, is payable in accordance with the applicable legislation and is not included in the published travel prices.

4. Obligations & Liabilities of the Travel Agency

Our Travel Agency is responsible for coordinating and operating the trips offered to travelers to the best of its ability and in accordance with the agreed travel arrangements. However, having taken all reasonable measures to anticipate and prevent potential issues, our Travel Agency shall not be held liable for acts, omissions or failures on the part of third parties or their associates, nor for extraordinary circumstances such as cancellations, delays or changes to the routes or schedules of any means of transportation (including ships, coaches, trains, etc.), or in the event of the closure or restriction (“embargo”) of areas due to terrorist acts, strikes or other circumstances of force majeure.

Our Travel Agency cannot predict or control delays affecting scheduled ferry services due to technical, weather-related or other reasons. Accordingly, travelers are advised not to schedule important personal activities or make connecting travel arrangements on the scheduled days of departure or arrival.

It is expressly acknowledged that our Travel Agency cannot foresee or control circumstances beyond its sphere of influence which may result in the cancellation of a trip or in losses arising from the non-performance or improper performance of the agreed travel services.

Examples of such circumstances include strikes, accidents, illness, epidemics, physical or medical conditions arising from local circumstances, altitude or climate, illness resulting from meals not included in the travel programme, inadequate sanitary conditions caused by external factors, injuries or hardship resulting from war, coups, terrorist acts, hijackings, earthquakes, adverse weather conditions, fires, epidemics, toxic contamination, and any other emergency situation or event of force majeure.

In such circumstances, our Travel Agency shall not be liable for compensation for any loss or damage resulting therefrom. Nevertheless, it will make every reasonable effort to assist, support and care for travelers in every possible way, without this creating any liability or obligation on the part of the Travel Agency to cover any extraordinary expenses arising in such circumstances. Such expenses, as in cases of force majeure, shall be borne by the travelers themselves.

Any reasonable complaint arising during the trip must be reported immediately and on site, in writing, to the Tour Escort (or, in their absence, to our office) and to the provider of the relevant service. If the issue reported cannot be resolved on site, any related complaint must be submitted to our office in writing within seven (7) business days following your return from the trip, together with any documents or other supporting evidence available to substantiate the complaint. After the expiry of this seven-day period, our Travel Agency shall have no obligation to respond to any claim.

In the event of any loss or damage arising from the non-performance or improper performance of the services included in the Package Travel Agreement, any compensation payable to the traveler shall be limited to the amounts provided for under the international conventions binding on Greece and governing the relevant services. In particular, compensation arising from the non-performance or improper performance of the travel services shall be limited to a maximum amount equal to twice the per-person price of the trip.

The operation of an organized trip requires a minimum of twenty (20) participants, excluding children under twelve (12) years of age. If this minimum number is not reached, our Travel Agency reserves the right to cancel the trip seven (7) days prior to departure. In such event, the Travel Agency shall notify the participating customers and refund all amounts paid, without any further obligation.

Our Travel Agency provides only the services expressly included in the descriptions of the organized travel programmes. Any optional services or excursions are available at an additional charge, subject to their availability and feasibility. Our Travel Agency shall not be held liable for optional services, which are primarily provided by local operators or third-party providers.

Upon completion of your trip, our Travel Agency will issue the tax documents required by law, which will be made available for collection on board the coach.

5. Travelers’ Obligations & Responsibilities

As organized trips typically involve other travelers, appropriate social conduct and full compliance with the travel programme, as well as with the instructions of Tour Escorts and Tour Guides, are essential. Travelers are required to arrive promptly at the designated meeting points for all services included in the programme, including transportation, guided tours, excursions, meals and other scheduled activities.

If a traveler’s delay or failure to comply with the agreed schedule results in missing an excursion, transfer or any other service included in the programme, the traveler shall be responsible for rejoining the group at their own risk and expense. In such cases, the traveler shall not be entitled to a refund for the service missed or, if unable to rejoin the group, for the remainder of the trip.

Our Travel Agency will make every reasonable effort to assist the traveler, without assuming any obligation or liability in this regard. Travelers must arrive at the designated departure points at least thirty (30) minutes prior to the scheduled departure time.

If a traveler voluntarily discontinues the trip and separates from the group, they shall not be entitled to any further services or compensation. Any responsibility and expenses arising from transportation or other arrangements made outside the group shall be borne exclusively by the traveler. Likewise, our Travel Agency shall bear no responsibility for services included in the organized trip that are not provided to the traveler due to their own negligence or responsibility, illness or sudden accident.

If a traveler is unable to participate in an organized trip for which they have made a reservation, they may transfer their booking to another person who meets the participation requirements for the specific trip, provided that written notice is given to our Travel Agency no later than seven (7) days prior to the commencement of the travel services. For sea transportation, the corresponding notice period is ten (10) business days prior to departure.

The substitute traveler (assignee) and the original traveler (assignor) shall be jointly and severally liable towards our Travel Agency for payment of any outstanding balance, as well as any additional costs arising from the transfer. Any change must remain within the same terms and conditions of the original booking and shall be accepted only if all service providers involved in the organized trip, including hotels and other providers, approve the change.

If no substitute traveler can be found, the amount paid may be credited towards a subsequent trip taking place within three (3) months.

Travelers are responsible for the actions of any children accompanying them and must supervise them continuously throughout the journey, both for their safety and appropriate conduct.

If the trip is interrupted due to quarantine, hospitalization of the traveler, or any other preventive public-health measure imposed by the destination country or any country visited in transit, LP Travel & Premium Services shall bear no responsibility towards the traveler for the non-provision of part or all of the agreed travel services and shall have no obligation to provide compensation or replace any services that were not provided at a later date.

6. Hotels, Ships & Other Means of Transportation

All information relating to the categorization or classification of the hotels and accommodation establishments referred to in the itineraries of our organized or marketed travel packages is provided in accordance with the applicable legislation of each country governing the official tourist classification of hotels and accommodation establishments, which may vary from one country to another.

Most hotel rooms accommodate two beds or one small double bed. Triple rooms are, in essence, double rooms with an additional bed. They are generally less spacious and comfortable, and the additional bed may be smaller than the standard beds, or may consist of a sofa bed or a folding/rollaway bed.

Hotel rooms are generally made available to guests between 14:00 and 16:00 and remain at their disposal until 10:00–12:00 on the day of departure, depending on the individual hotel’s policy. Should you wish to access your room earlier or retain it beyond the standard check-out time, an additional charge may apply, subject to availability and the applicable hotel policy.

In the event that, due to unforeseen circumstances or difficulties, the Travel Organizer is required to change the hotel specified in the travel arrangements, the replacement hotel will be of the same or a higher category. In such circumstances, the Travel Agency shall have no obligation to provide any additional compensation to the travelers.

For coach tours and excursions within Greece, seats are allocated in the order of registration and remain fixed throughout the journey. For tours and excursions abroad, seats are changed on a daily basis. Smoking is strictly prohibited on board the coach.

The duration of a full-day visit or excursion shall not exceed nine (9) hours in total, calculated from the time of departure until the return to the hotel.

We strongly recommend that you do not leave your personal belongings unattended or exposed and that you keep them under your constant supervision in all areas and locations, including hotels, ships, coaches, and other means of transport or accommodation (e.g. mobile phones and other personal items).

In particular, with regard to hotels, it is an established international practice for hotels not to assume liability for cash, valuables or other valuable items left unattended in guest rooms. Small safes are often available in hotel rooms for the secure storage of such items.

7. Passports, Visas & Health Requirements

Passports must remain valid for the period required by the destination countries following the scheduled return date. Countries within the Schengen Area also accept the new type of Greek national identity cards bearing Latin characters.

Our Travel Agency provides all necessary information regarding the travel and other documents required for Greek citizens for each trip and destination, as well as information concerning their issuance and/or visa requirements. However, even where our Travel Agency provides assistance with the relevant procedures, it shall under no circumstances be held responsible for any failure by the competent authorities to issue or grant visas or other required documents. Travelers must contact the relevant authorities directly. The Travel Agency shall also bear no responsibility where the validity period of a visa is shorter than the duration of the trip and the dates do not coincide, or where two travelers in the same booking hold different nationalities, particularly when traveling outside the Schengen Area.

Travelers who are citizens of other countries and hold foreign passports must inform our Travel Agency accordingly and must contact the consular authorities of their country of nationality, as well as those of the countries they intend to visit, in order to verify whether an entry visa or any other documents are required for the countries they will transit through or visit, as well as for their re-entry into Greece or the country from which they commenced their journey.

Failure to obtain the required travel documents or visas in a timely manner shall not constitute grounds for cancelling participation in the trip without the applicable cancellation fees. Each traveler is solely responsible for ensuring the validity and accuracy of their travel documents, obtaining and safeguarding them throughout the journey. Travelers are also responsible for keeping their tickets and all other travel documents safely in their possession for the entire duration of the trip.

A parent traveling alone with a minor child must carry a duly certified authorization in English from the other parent who is not traveling. The same procedure applies when a minor travels without either parent or legal guardian, in which case a duly certified authorization from both parents is required. In all cases, our Travel Agency shall bear no responsibility if the local authorities refuse entry to the relevant traveler or minor into their country.

Travelers are required to comply with all applicable national laws and regulations, as well as with the instructions of the competent national authorities. Our Travel Agency shall bear no responsibility if a traveler becomes subject to criminal proceedings, is required to appear before an authority, is detained or arrested by local authorities, or otherwise faces legal consequences as a result of their own actions or failure to comply with applicable laws and regulations.

Due to the confidential nature of medical information and the protection of sensitive personal data, each traveler is solely responsible for contacting the competent health authorities regarding any health-related requirements. Travelers are required to obtain timely information from the relevant local health authorities concerning the health regulations applicable in each country, including any vaccinations or medications that may be required.

Travelers with existing health conditions are advised to obtain their doctor’s approval before traveling and, where appropriate, to carry a medical certificate or written declaration confirming that they are fit to travel safely.

Our Travel Agency shall bear no responsibility whatsoever for illness, injury, loss of life, accident or any other medical emergency occurring during the trip. In the event of such an incident, our Travel Agency will, to the extent reasonably possible, provide assistance and support to the affected traveler. However, it shall have no obligation to cover any related medical, transportation, accommodation or other expenses, nor any obligation to alter or bear the costs arising from changes to the travel programme. The trip will continue as scheduled to the extent reasonably possible.

8. Insurance

For each excursion organized by our Office, a Professional Civil Liability Insurance Policy is maintained with an insurance company. The policy number and the details of the insurance company are specified in the Organized Travel Agreement.

The insurance policy covers, inter alia, the event of the Organizer’s insolvency and provides coverage to all travelers, irrespective of their place of residence, place of departure, or the place where the travel service was purchased.

In addition, Travel Insurance coverage is provided, including cover for accidental injury, medical and hospital expenses arising from an accident, loss of or delay in the delivery of baggage, expenses incurred for the acceleration of the journey, as well as the repatriation of travelers in the event of injury or illness, together with other applicable benefits. Such coverage is provided to persons who have not reached the age of 75.

For persons over the age of 75, however, a specific scope of Travel Insurance coverage applies, which is limited to the following: repatriation expenses solely in the event of an accident or death; loss of baggage; and the traveler’s personal civil liability.

9. Baggage

Baggage is transported at the owner’s own risk and responsibility, regardless of whether or not the traveler is accompanied by representatives of our Travel Agency.

In the event of damage or loss, the applicable international conventions governing the relevant means of transportation and hotel accommodation shall apply. Any liability in such cases shall be limited to the extent provided for under the applicable conventions.

Our Travel Agency shall bear no responsibility or liability for the contents of any baggage.

10.  Cancellations

10. CANCELLATIONS

Cancellations of participation by the traveler must be submitted in writing to our Travel Agency, regardless of the date on which the booking was made. The following terms apply:

1. Cancellation 11 days or more prior to departure entitles the traveler to a 100% refund.

2. Cancellation 7 to 10 days prior to departure allows the traveler to transfer their booking to another person, subject to the conditions set out in Article 6 of the General Terms & Conditions of Participation.

3. If no substitute traveler (assignee) can be found, the amount paid may be credited towards a subsequent trip taking place within two (2) months.

4. Cancellation from 6 days prior to departure up to and including the day of departure will result in the retention of 100% of the total amount paid.

The applicable charges apply regardless of the date of registration and irrespective of whether the corresponding amounts have already been paid by the travelers.

If one of two travelers who have booked or are staying in a double room cancels their participation, the applicable cancellation fees shall apply. If the cancellation fees do not amount to 100% of the total value of the trip, the remaining traveler will also be required to pay the difference in accommodation cost, as they will necessarily occupy a single room.

Cancellation by the Travel Agency

In the event that our Travel Agency cancels the trip, and provided that the timing of the booking allows for the applicable notice period, the traveler will be notified within the following timeframes:

a) 7 days prior to departure, for trips lasting more than six (6) days.

b) 5 days prior to departure, for trips lasting four (4) to five (5) days.

c) 3 days prior to departure, for trips lasting two (2) to three (3) days.

d) 48 hours prior to departure, for one-day trips (day excursions).

CANCELLATION TERMS

Any cancellation must be submitted in writing to our Travel Agency. The cancellation shall take effect from the date on which we receive the written notification, and the following cancellation charges shall apply:

  • 45 days or more prior to departure: €100 per person will be retained as an administrative fee.

  • 44–21 days prior to departure: 30% of the total booking value will be retained.

  • 20 days prior to departure through to the day of departure, including no-shows: 100% of the total booking value will be retained.

For organized group journeys operated with charter flights, the above cancellation periods do not apply. In the event of cancellation, 100% of the total amount paid will be retained.

Individual & Tailor-Made Journeys & Cruises

Different cancellation terms apply to organized individual / tailor-made journeys and cruises. Such bookings are subject to the cancellation policies and terms of the respective airlines, hotels, cruise lines and other service providers, as applicable. The specific cancellation terms and any applicable charges are set out in your Travel Agreement.

Cancellation During the Trip

If a traveler decides to discontinue or modify their trip during the journey, they shall not be entitled to any refund or further compensation. Any responsibility and expenses arising from transportation or other arrangements made as a result of such decision shall be borne exclusively by the traveler.

11. Dispute Resolution

Our Travel Agency and the traveler undertake to resolve, in good faith, any dispute that may arise in connection with the performance of the Package Travel Agreement.

If an amicable resolution cannot be reached, the Courts of Chalkida shall have jurisdiction.

In such cases, travelers will be notified promptly by the most appropriate means of communication. For this reason, it is essential that we have accurate and up-to-date contact details for each traveler. The traveler bears sole responsibility for providing and maintaining such information.

Seat changes on the coach are not permitted during the journey, except in the case of international trips.

The scheduled stops included in the itinerary may be modified following consultation and agreement between the Tour Leader, Tour Escort and our office, where deemed necessary for the smooth operation of the trip.

Our office reserves the right to change the size or type of coach used for a trip, depending on the number of participating travelers.

Please read carefully the following General Terms & Conditions of Participation, which constitute an integral part of the organized travel agreement, together with any information and recommendations provided to you, before registering for any of our organized trips.

Participation in any organized trip offered by our Travel Agency presupposes that the traveler has carefully reviewed the programme of the specific trip and constitutes the unconditional acceptance by the traveler/participant of these General Terms & Conditions of Participation, in accordance with Presidential Decree 7/2018.

Accordingly, travelers are entitled to all rights provided under European Union legislation applicable to package travel.

These General Terms & Conditions set out general information, as well as the rights and obligations of the two parties to the organized travel agreement.

With regard to specific information relating to each individual organized trip—including destinations, prices, departure and return dates and times, means of transportation, accommodation, visits and excursions, and other arrangements—travelers are required to consult the applicable travel programme and corresponding price list.

The travel programmes are valid for the period specified in the relevant printed materials or published on our website.

The travel services to be provided, together with the corresponding costs, are set out in detail in the Package Travel Agreement.

Where the traveler is unable to register in person, including registrations made by telephone, email or other means of distance communication, the Package Travel Agreement will be sent by email. In such cases, the traveler may have the right to withdraw from the agreement within fourteen (14) days from the date on which the agreement was sent to their email address, subject to any applicable cancellation fees referred to in Article 11 below.

Our Travel Agency bears no responsibility for the opening days and hours of markets, museums or archaeological sites, as these may be determined by the respective authorities or operators.

3.  Travel prices, surcharges & other charges

The price of each trip is stated in our current applicable price list. Travel prices are calculated as of the date on which the relevant price list is issued, based on the cost of the services included in each trip, fuel or other energy costs, applicable fares and surcharges, taxes and fees of any kind, foreign exchange rates against the euro (€), as well as any other relevant cost factors, such as minimum participation requirements.

Having exhausted all reasonable means of anticipating changes in costs, our Travel Agency reserves the right to adjust the prices if any of the above cost factors change.

In particular, the price of the trip may be adjusted up to twenty (20) days prior to the commencement of the travel services. Any such price increase will be communicated to the traveler in a detailed, clear, comprehensible and prominently presented manner.

In the event of a significant price increase, meaning an increase of more than 8% of the total trip price, resulting from the above-mentioned factors, the traveler may terminate the package travel agreement without paying any termination fee and receive a refund of the exact amount already paid.

If the traveler terminates the package travel agreement for the above reason, they may alternatively choose to accept another package of equivalent or higher quality, where available.

The traveler is required to notify our Travel Agency in writing of their decision within a reasonable period, which in no case may exceed three (3) days from the date on which the price increase was communicated.

If the traveler fails to respond in writing within the above-mentioned period, our Travel Agency shall proceed with the cancellation of the traveler’s participation and refund all amounts paid, without any further obligation, subject to any applicable cancellation fees referred to in Article 11 below.

Our Travel Agency also reserves the right, for a specified period or for a limited number of available places, to offer advance-sale bookings at preferential prices, subject to special cancellation terms and conditions.

Children’s Charges

Children’s rates vary depending on the individual offer and may range from complimentary accommodation without meals at hotels and on board ships to a modest discount. Such offers generally apply to children aged 2–11 years, provided that two adults are paying guests sharing the same room or cabin.

Taxes & Accommodation Charges

The published prices do not include accommodation taxes or municipal taxes, where applicable.

In Greece, the accommodation tax per room/suite and per night is:

  • 3-star hotel: €1.50

  • 4-star hotel: €7.00

  • 5-star hotel: €10.00

The accommodation tax introduced under Law 4389/2016, which as of 1 January 2024 is referred to as the Climate Resilience Fee, is payable in accordance with the applicable legislation and is not included in the published travel prices.

4.  Obligations & Liabilities of the Travel Agency

Our Travel Agency is responsible for coordinating and operating the trips offered to travelers to the best of its ability and in accordance with the agreed travel arrangements.

However, having taken all reasonable measures to anticipate and prevent potential issues, our Travel Agency shall not be held responsible for acts, omissions or failures on the part of third-party service providers or their associates, nor for extraordinary circumstances beyond its reasonable control, including cancellations, delays or changes to the schedules or routes of various means of transportation, such as ships, coaches, trains and other carriers, or for the closure or restriction of access to areas due to terrorist acts, strikes or other events of force majeure.

Our Travel Agency cannot predict or control delays affecting scheduled ferry services arising from technical, weather-related or other causes. Travelers are therefore advised not to schedule important personal commitments or make connecting travel arrangements on the same day as their scheduled departure or arrival.

It is expressly acknowledged that our Travel Agency cannot foresee or control circumstances beyond its sphere of influence that may result in the cancellation of a trip or in losses arising from the non-performance or improper performance of agreed travel services.

Examples of such circumstances include, without limitation: strikes, accidents, illness, epidemics, physical or medical conditions arising from local circumstances, altitude or climate, illness resulting from meals not included in the travel programme or inadequate sanitary conditions caused by external factors, injuries or hardship arising from war, coups d’état, terrorist acts, hijacking, earthquakes, adverse weather conditions, fires, epidemics, toxic contamination, and any other emergency situation or event of force majeure.

In such circumstances, our Travel Agency shall bear no liability for compensation for any loss or damage arising therefrom. Nevertheless, we will make every reasonable effort to assist, support and care for our travelers to the fullest extent possible. Such assistance shall not, however, constitute an admission of liability or an obligation on the part of the Travel Agency to cover any extraordinary expenses incurred. Such expenses, including those arising from circumstances of force majeure, shall be borne by the travelers themselves.

Complaints During the Trip

Any reasonable complaint arising during the trip must be reported immediately and at the location where the issue occurs, both to the tour escort or, in their absence, to our office, and to the provider responsible for the specific service, preferably in writing.

If the reported issue cannot be resolved on site, any complaint must be submitted in writing to our office within seven (7) business days following the traveler’s return, accompanied by any documents or other supporting evidence available to substantiate the complaint.

After the expiry of this seven-day period, our Travel Agency shall have no obligation to respond to any related claim.

In the event of loss or damage resulting from the non-performance or improper performance of services included in the package travel arrangement, any compensation payable to the traveler shall be limited to the extent provided for by the international conventions binding upon Greece and governing the relevant services.

In particular, compensation arising from the non-performance or improper performance of the travel services shall be limited to a maximum amount equal to twice the per-person price of the trip, subject to any mandatory provisions of applicable law.

Minimum Number of Participants

A minimum of twenty (20) participants is required for an organized trip to operate. Children under the age of twelve (12) are not included when calculating the minimum number of participants.

If the minimum number is not reached, our Travel Agency reserves the right to cancel the trip seven (7) days prior to departure. In such an event, participating travelers will be notified and all amounts paid will be refunded in full, without any further obligation on the part of the Travel Agency.

Included & Optional Services

Our Travel Agency provides only those services expressly stated in the descriptions and programmes of the respective organized trips.

Any optional services or excursions are available at an additional charge, subject to their eventual availability and feasibility.

Our Travel Agency shall bear no liability for optional services, which are primarily provided by local third-party operators or service providers.

Tax Documents

Following completion of the trip, our Travel Agency will issue the tax documents required by applicable law. These documents will be delivered to travelers on board the coach.

5.  Traveler's obligations & Respnsibilities

As organized trips typically involve other travelers, appropriate social conduct and full compliance with the travel programme, as well as with the instructions of tour leaders and guides, are essential. Travelers are required to arrive promptly at the designated meeting points for all services included in the programme, including transportation, guided tours, excursions, meals and other scheduled activities.

If a traveler’s delay or failure to comply with the agreed schedule results in missing an excursion, transfer or any other service included in the programme, the traveler shall be responsible for rejoining the group at their own risk and expense. In such cases, the traveler shall not be entitled to a refund for the service missed or, if they are unable to rejoin the group, for the remainder of the trip.

Our Travel Agency will make every reasonable effort to assist the traveler in such circumstances, without assuming any obligation or liability in relation thereto.

Travelers must arrive at all designated departure points at least thirty (30) minutes prior to the scheduled departure time.

If a traveler voluntarily decides to discontinue the trip and separate from the group, they shall not be entitled to any further services or compensation. Any responsibility and expenses arising from transportation or other arrangements made outside the group shall be borne exclusively by the traveler.

Likewise, our Travel Agency shall bear no responsibility for services included in the organized trip that were not provided to the traveler due to their own negligence or responsibility, including circumstances arising from illness or a sudden accident affecting the traveler.

If a traveler is unable to participate in an organized trip for which they have made a reservation, they may transfer their booking to another person who meets the participation requirements for the specific trip, provided that they notify our Travel Agency in writing no later than seven (7) days prior to the commencement of the travel services. For sea transportation, the corresponding deadline is ten (10) business days prior to departure.

The substitute traveler (assignee) and the original traveler (assignor) shall be jointly and severally liable towards our Travel Agency for payment of any outstanding balance, as well as any additional costs that may arise from the transfer of the booking.

Any change of traveler must be made strictly within the same travel arrangements and shall be accepted only if all service providers involved in the organized trip, including hotels and other suppliers, agree to the requested change.

If no substitute traveler can be found, the amount paid may be credited towards a subsequent trip within a period of three (3) months.

Travelers are responsible for the actions and conduct of any children accompanying them and are required to supervise them continuously throughout the trip, both for their safety and their appropriate behavior.

If the trip is interrupted due to quarantine, hospitalization of the participant, or any other preventive public-health measure imposed by either the destination country or any intermediate country, LP Travel & Premium Services shall bear no liability towards the traveler for the non-provision of part or all of the agreed travel services. In such circumstances, the Travel Agency shall have no obligation to provide compensation or to replace, at a later date, any service that was not provided.

6.  Hotels/ Ships /Transportations

All information concerning the classification and rating of hotels and accommodation establishments referred to in the programmes of our organized or marketed trips complies with the applicable legislation of each country governing the official tourist classification of hotels and accommodation establishments. Such classification standards may vary from one country to another.

Most hotel rooms accommodate either two single beds or one double bed. Triple rooms are, in essence, double rooms with an additional bed. They are generally less spacious and comfortable, and the additional bed may be smaller than a standard bed, a sofa bed or a folding bed.

Hotel rooms are generally available for check-in between 14:00 and 16:00 and remain at the guests’ disposal until 10:00–12:00 on the day of departure, depending on the individual hotel’s policy. Should you wish to access your room earlier or check out later, an additional charge may apply, subject to availability.

In the event that, due to unforeseen circumstances, the travel organizer is required to replace the hotel with another property of the same or higher category, the Travel Agency shall have no further obligation to provide compensation to travelers.

For coach tours within Greece, seats are allocated on a first-come, first-served basis and remain unchanged throughout the journey. For international coach tours, seating arrangements change on a daily basis.

Smoking is strictly prohibited on board the coach.

The total duration of a full-day visit or excursion shall not exceed nine (9) hours, calculated from the time of departure until the return to the hotel.

We strongly recommend that you do not leave your personal belongings unattended and keep them under your supervision at all times, whether at the hotel, on board a ship or in any other location. This includes, but is not limited to, mobile phones and other valuables.

In particular, it is an established international practice for hotels not to assume responsibility for cash, jewelry or other valuables left in guest rooms. For this reason, many hotels provide small in-room safes for the secure storage of such items.

7. Passports, Visa & Health Requirements

Passports must remain valid for the period required by the destination countries following the scheduled return date. Schengen Area countries also accept the new type of Greek national identity cards bearing Latin characters.

Our Travel Agency provides all necessary information regarding the travel and other documents required for Greek citizens for each trip and destination, as well as information concerning their issuance and/or visa requirements. However, even where our Travel Agency provides assistance with the relevant procedures, it shall under no circumstances be held responsible for the failure of the competent authorities to issue or grant visas or other required documents. Travelers must address the relevant competent authorities directly.

Our Travel Agency shall likewise bear no responsibility where the validity period of a visa is shorter than the duration of the trip and therefore does not cover the entire period of travel, or where travelers in the same booking have different nationalities, particularly when traveling to destinations outside the Schengen Area.

Non-Greek nationals holding foreign passports must inform our Travel Agency accordingly and are solely responsible for contacting the consular authorities of their country of nationality, as well as those of the countries they intend to visit, in order to verify whether they require an entry visa or any other documentation for the countries they will transit through or visit, as well as for their re-entry into Greece or their country of departure.

Failure to obtain or secure the timely issuance or validity of the required travel documents does not constitute grounds for cancellation of participation in the trip without the applicable cancellation charges.

Each traveler is solely responsible for ensuring the validity, accuracy and adequacy of their required travel documents, as well as for obtaining and safely keeping them throughout the journey. Travelers are also responsible for safeguarding their tickets and all other travel documents for the entire duration of the trip.

A parent traveling alone with a minor child must carry a duly certified authorization, in English, from the other parent who is not accompanying the child. The same procedure applies when a minor travels without either parent or legal guardian, in which case a duly certified authorization from both parents is required.

In all cases, our Travel Agency shall bear no responsibility if the local authorities refuse entry to a traveler or minor into their country.

Travelers are required to comply fully with the national laws, regulations and requirements applicable in each country they visit, as well as with any instructions issued by the competent national or local authorities. Our Travel Agency shall bear no responsibility in the event that a traveler is subject to criminal proceedings, required to appear before an authority, detained or arrested by local authorities, or otherwise becomes involved with the competent authorities as a result of their own actions or failure to comply with applicable laws and regulations.

Due to the confidential nature of medical information and sensitive personal data, each traveler is solely responsible for contacting the competent health authorities and obtaining the necessary information regarding the health requirements applicable in each destination.

Travelers must obtain timely information from the relevant local health authorities regarding the health regulations and requirements of each country, including any vaccinations, preventive measures or medication that may be required or recommended.

Travelers with existing health conditions or medical concerns are advised to obtain their doctor’s approval before traveling and, where required, to provide a medical certificate or a written declaration confirming that they are fit to travel safely.

Our Travel Agency shall bear no responsibility for any illness, injury, loss of life, accident or other medical or health-related emergency occurring during the trip.

Should such an incident occur, our Travel Agency will, to the extent reasonably possible, provide assistance and support to the affected traveler. However, the Travel Agency shall have no obligation to cover any related medical, transportation, accommodation or other expenses, nor any obligation to modify or otherwise bear the cost of changes to the travel programme. The trip shall continue as scheduled to the extent reasonably possible.

8. Insurance

Our Travel Agency has entered into a Public & Professional Liability Insurance policy with an insurance company for each trip it organizes. The policy number and the details of the insurance company are stated in the Package Travel Agreement.

The insurance policy covers, among other matters, the event of the organizer’s insolvency, providing protection to all travelers regardless of their place of residence, place of departure or the place where the travel service was purchased.

In addition, Travel Insurance is provided, covering, among other benefits, accidental injury, medical and hospital expenses resulting from an accident, loss or delay of baggage, travel curtailment or early-return expenses, as well as repatriation in the event of injury or illness, together with other applicable benefits, for travelers who have not reached their 75th birthday.

For travelers over 75 years of age, a specific and more limited framework of travel insurance coverage applies. Such coverage is restricted to the following:

  • Repatriation expenses solely in the event of an accident or death

  • Baggage loss

  • Personal liability of the traveler

9. Baggage

Baggage is transported at the owner’s own responsibility and care, regardless of whether or not a representative of our Travel Agency is accompanying the group.

In the event of damage to or loss of baggage, the applicable international conventions governing the respective means of transportation, as well as the relevant provisions applicable to hotels, shall apply. Accordingly, any liability shall be limited to the extent provided for under such conventions and applicable provisions.

Our Travel Agency shall bear no responsibility or liability for the contents of any baggage.

10.  Cancellations

Cancellations of participation by the traveler must be made in writing to our Travel Agency, regardless of the date on which the booking was made. Specifically:

  1. Cancellation 11 days or more prior to departure
    Cancellation of the trip at least eleven (11) days prior to departure entitles the traveler to a 100% refund of the amount paid.

  2. Cancellation 10–7 days prior to departure
    In the event of cancellation between ten (10) and seven (7) days prior to departure, the traveler may transfer their booking to another person, subject to the conditions set out in Article 6 of the General Terms & Conditions of Participation.

  3. No substitute traveler available
    If no substitute traveler (assignee) can be found, the amount paid may be credited towards a subsequent trip within a period of two (2) months.

  4. Cancellation 6 days prior to departure or later
    In the event of cancellation from six (6) days prior to departure up to and including the departure date, 100% of the total amount shall be retained and no refund shall be provided.

The applicable cancellation charges apply regardless of the date of registration or whether the corresponding amounts have already been paid by the travelers.

If one of two travelers who have booked or are staying in a double room cancels their participation, the applicable cancellation charges shall be imposed. If the applicable cancellation charges do not amount to 100% of the total value of the trip, the traveler who ultimately participates shall also be required to pay the applicable single-room supplement, as they will necessarily occupy the room alone.

Cancellation by the Travel Agency

In the event that our Travel Agency cancels the trip, and provided that the booking period allows for such notification, the traveler shall be informed within the following timeframes:

a) Seven (7) days prior to departure, for trips lasting more than six (6) days.

b) Five (5) days prior to departure, for trips lasting between four (4) and five (5) days.

c) Three (3) days prior to departure, for trips lasting between two (2) and three (3) days.

d) Forty-eight (48) hours prior to departure, for one-day trips (day excursions).

Day Trips & Curated Tours in Greece

Curated Abroad Journeys

Any cancellation must be submitted to us in writing. The cancellation shall be considered effective from the date on which we receive your written notification. The following cancellation charges shall apply:

  • 45 days or more prior to departure: €100 per person shall be retained to cover administrative expenses.

  • 44–21 days prior to departure: 30% of the total booking value shall be retained.

  • 20 days prior to departure up to and including the departure date, as well as in the event of no-show: 100% of the total booking value shall be retained.

For organized group tours operated with charter flights, the above cancellation periods do not apply. In the event of cancellation, the full amount paid shall be retained.

Tailor-Made Journeys & Cruises

Different cancellation terms apply to organized individual / tailor-made journeys and cruises. Such bookings are subject to the cancellation policies and terms of the respective airlines, hotels, cruise lines and other service providers, as applicable. The specific cancellation terms and applicable charges are set out in your Travel Agreement.

Cancellation During the Journey

If a traveler decides to discontinue or modify their trip during the journey, they shall not be entitled to any refund or further compensation. Any responsibility and expenses arising from transportation or other arrangements made as a result of such decision shall be borne exclusively by the traveler.

11.  Dispute Resolution

Our Travel Agency and the traveler undertake to resolve, in good faith, any dispute that may arise in connection with the performance of the Package Travel Agreement.

If an amicable resolution cannot be reached, the Courts of Chalkida shall have jurisdiction.
